Dear World Transplant Games 2019 Participant,
We can’t wait to welcome you to the Games in just a few days time! Here’s some IMPORTANT information about your arrival and your first weekend.
As you are on an Accreditation Only Package you will be required to make your own way to your accommodation. However, advice and information about each main Arrival Hub is below.
If you are arriving at Newcastle International Airport, there is an excellent Metro service from the Airport which will take you directly to the heart of the city. The Metro ride from the Airport takes around 30 mins and costs £5.20 for adults. Alternatively, a taxi journey takes around 20 mins and is approximately £20-30.
From the 15th to 17th August please look out for our fantastic World Transplant Games volunteers (in red tee-shirts) as you exit the Arrivals Gate who will help to signpost you to transport links.
If you are arriving at Newcastle Central Train Station, the Metro and Quaylink buses are a great way to reach all four corners of NewcastleGateshead. Please look out for World Transplant Games volunteers in red tee-shirts as you come through the ticket barriers, as they will help to signpost you to transport links.
If you are arriving by Ferry to the Port of Tyne International Passenger Terminal there is a shuttle to the Metro station at North Shields, a taxi ride to NewcastleGateshead will take you approximately 20 minutes and cost around £20-30.
Once you have checked in at your accommodation, we recommend that you make your way to Games Registration at your earliest convenience. We ask that all participants attend to collect their own accreditation pass, except in exceptional circumstances. Please ensure you try your very best to register before activities start on Saturday afternoon (Gathering for the Parade starts at 15.15). And remember as soon as you register you will start being able to benefit from free travel around the city with our travel partners!
Registration / Event HQ at the Civic Centre in Newcastle is open at the following times:
Friday 16th August – 09.00 – 22.00
Saturday 17th August – 09.00 – 22.00
Sunday 18th August – 07.30 – 20.00
Monday 19th August – 07.30 – 20.00
Tuesday 20th August – 07.30 – 20.00
Wednesday 21st August – 07.30 – 20.00
Thursday 22nd August – 07.30 – 20.00
Friday 23rd August – 07.30 – 20.00
It would be great if you could bring your ID and Games URN number to registration to help us identify you.
Games transport around the city on Friday and Saturday
There will be ‘hop on, hop off’ buses going to the Civic Centre from Games Accommodation approximately once an hour on Friday 16th, and approximately once every 30 mins on Saturday 17th. From 13.00 on the Saturday it’s also possible to ‘hop off’ these buses near the Opening Event and Parade start. However, if you are staying in a city centre hotel it may be quicker to walk the short distance.
The Parade and Opening Event on Saturday 17th August
If you are an Athlete, please try your best to register before you gather for the Parade at Old Eldon Square in Newcastle, just near the Monument from 15:15. Your team will be allocated a check in time for the Parade between 15:15 and 16:00 you will find a list of team arrival times in your registration pack. Please arrive as close to your allocated check in time as possible. You will find a check in desk in Old Eldon Square where Team Managers will be asked to check the team in and pick up your Team Flags, and you will be introduced to your allocated volunteers and stage manager who will get your Team into formation for the Parade.
Live Donors and Donor Families are also invited to join the Parade and will be able to join their teams or form the last two teams at the end parading into the Ceremony.
The Parade will make its way to Sport Central for the Opening Ceremony. If you are joining the Parade, we’d recommend filling up your water bottles before leaving your accommodation. You may also need to remember sun cream or a waterproof depending on the weather.
If you think you will be unable to walk the full length of the parade but would still like to march with your teammates please make your way to the Assisted Athletes point on Northumberland Road a short distance from Sports Central from 16:00 (but by no later than 16:30) where a stage manager will get you ready to join the parade as they pass by.
A map of both the main Parade check in on Old Eldon Square and the Assisted Athletes point can be found in your registration pack along with your teams check in time.
If you are a Supporter, please go to the Opening Event at Sport Central from 16:30 ready in your seats for a 17:00 start. You will need to be there in plenty of time to greet the Parading Athletes as they arrive into Sports Central. If you are a Supporter for an Athlete that is under 18, or someone that is unable or uncomfortable Parading without your support, please join them for the Parade.
You will receive your Opening Event ticket when you register, therefore please ensure you have registered and that you have this with you whether joining the Parade or going straight to the event, as this contains your tokens which you will need to exchange for food and drink at the Opening Event.
After the Ceremony element of the event, Athletes and Supporters will be able to enjoy food and entertainment inside and outside Sports Central, therefore please dress according to the weather.
Arriving late afternoon on the Saturday?
The Civic Centre is in the centre of the city so we would encourage you to try and register where you can, however if you are arriving so late that it’s difficult to collect your Accreditation pass before joining the Parade or Opening Event, please take your luggage to your accommodation first (we are not able to look after this at the Opening Event) and then go either directly to the Parade (if you can get there between 15.15-16.00) or Opening Event (from 16.30) and we will try our very best to accommodate you. Please ensure you have your ID and Games URN number to help us identify you.
Leaving the Opening Event
The Opening Event is in the centre of Newcastle. Coaches will leave the Sports Central Bus Pick Up Zone from 2100 to 2300 to travel to Games Hotels. However, with the exception of Hotels in Gateshead it may be quicker to walk to most Hotels*. Look out for event staff to find the coach pick up point after the event.
*Those staying in Newbridge Street, Staybridge Street, Dream Apartments and Park Terrace are advised to walk back to their hotels as they are close to the bus pick up zone. Those staying in in Motel One and Maldron hotels may prefer to walk.
Sunday 18th August
Many sports start on Sunday, and by the time you have registered you should have a clear idea of how to travel to your sports. If you are arriving on the Sunday, registration is open from 07.30.
Road Race and Gift of Life Run
All participants for the run are required to use the Metro or Walk. Please leave plenty of time to travel to the event, as there is around a 15-minute walk from Haymarket Metro Station. After the run there are some fairground rides for children, the Exhibition café, and a couple of food stalls for everyone to enjoy. You can also stay to watch the fun runners complete the run.
Beach Walk for Donor Families
We have invited all Donor Families and Live Donors to join a Beach Walk on the afternoon of Sunday 18th August. Please register at the Donor desk at Registration on Friday and Saturday.
There is no organised beach walk for other participants, however we’d recommend a visit to our lovely beaches whilst you are in NewcastleGateshead. Please visit the transport and excursions desks at Registration for guidance on how to get there, or just jump on the Metro and visit Tynemouth, Whitley Bay or South Shields.
At Registration you can also book onto one of our fantastic excursions to the Farne Islands (19th and 21st), Alnwick Garden and Castle (20th), Hadrian’s Wall (20th) or Durham and Beamish (22nd). Check the Games website too for details of special offers over the Games period.

We think that’s all the information you need for now, please note there will be lots of support and information at Registration which will help you plan your week, such as sport specific transport information, coach pick up points, and departure transfers.
